How do I book my group's travel?

You can do this a couple ways. Give us a call at (717) 458-2962. One of our travel consultants will discuss all of your group's needs to make this the smoothest group booking experience possible. On our home page you can also send us an email request for your group's needs. We will contact you with 24 hours of receipt of our request.

How do I access link to make a reservation?

Upcoming Travel provides a discrete and secure URL/Link to your group’s event page. It is there you will be able to book an individual reservation. To gain access to this URL/link you must contact your group travel coordinator within your organization. If you do not know who your group travel coordinator is, please contact help@upcomingtravel.com and provide the name of your group and dates of travel. Your group event page access is controlled by your group travel coordinator, not by Upcoming Travel. We have found this to the best practice for the individual group to control their own access to ensure organizations get the correct quantity of rooms and to prevent outsiders from reserving a room in your block reservation.Once your reservation is complete, you will receive an email confirming your reservation. This email will contain the terms and conditions and cancellation policy of your individual reservation. Within this reservation will be a link to be able to make changes or cancel your reservation as long as these are done according to the terms and conditions and cancellation policies outlined on your reservation. You may contact Upcoming Travel to make these changes or cancellations, but, it is ultimately your responsibility. PLEASE BE SURE TO KEEP YOUR CONFIRMATION EMAIL.

Do I have to sign any contracts?

No. Upcoming Travel negotiates and signs all contracts with hotels and any travel provides associated with your group.

If your group becomes a preferred client with Upcoming Travel, we may request you sign client profile agreement, so that we can have your group’s specific travel requirements on file.

Do I have to send a rooming list or collect credit card information from individuals in my group?

No. Our website is designed so that the individuals within your group make their own reservations creating your groups rooming list.

Does Upcoming Travel provide after hours and weekend assistance?

Yes. Just give us a call at 717-458-2962. We will call you back with in 1 hour. Depending on the Event. We may even be on site to assist with any issues that could arise.

Who pays Upcoming Travel?

Upcoming Travel is a LICENCED travel company through IATAN and a member of the NATIONAL ASSOCIATION OF COMMISSIONED TRAVEL AGENTS. As a member, we receive a standard travel agent commission paid by the hotels and or other travel partners. We will never add undisclosed rebates or fees to our contracted rates! Working with our travel partners we strive to offer your group the lowest rates possible.

Will the hotel honor my "Special Requests"?

Special Requests will he honored based upon availability on the day of check-in. Non-Smoking room requests should be made on your rooming list. You have a much better chance of getting all non-smoking rooms if your room list is sent in by or before the due date.

Can I guarantee all the rooms by putting one credit card on the rooming list?

Yes, but your room list will have to have your credit card noted by each person's name. Unless you have total control of the rooms, such as a high school or college team, we don't recommend this. If anybody, on your list cancels a room outside the cancellation time policy, your credit card could be charged. It's always better to have everybody on the list with his or her own credit card numbers. With the UPCOMING TRAVEL room list system it is very easy to have each person make his or her reservation into your room block! You never have to get involved with another person's credit card information again!

The rooming list is due now, but I do not have everyone's credit card number. What should I do?

Reservations will not be accepted without a valid credit card. Either you will need to use your credit card to hold the room or remove the person's name from the list. Send your list in on time! Don't wait for one person to jeopardize the entire group. Check the hotel's Terms and Conditions regarding credit card charges. In most cases, you can hold the room and switch cards when you get to the hotel. Just be sure the person in question IS going! You could be charged if the person does not show up! Remember the hotel has the Right to drop rooms or raise your rate if the rooming list is not received on time.

How do I get directions to the event or hotel?

We have a link on our site to "google maps" Just enter the address information to get the directions you need.

How do I modify my hotel reservation?

Once you have made your individual reservation, you will receive a link in your reservation confirmation email to make any changes to your reservation. You can also give us a call at 717-458-2962, and we will be happy to assist you. Once your reservation has been submitted to the hotel. PLEASE DO NOT CALL THE HOTEL DIRECTLY. ALL CHANGES SHOULD BE MADE THROUGH UPCOMING TRAVEL.

How do I cancel a hotel reservation online?

Yes. You can cancel your reservation through the link provided in your reservation confirmation email or contact us at 717-458-2962. Once your reservation has been submitted to the hotel. PLEASE DO NOT CALL THE HOTEL DIRECTLY. ALL CHANGES SHOULD BE MADE THROUGH UPCOMING TRAVEL. NO CANCELLATIONS WILL BE ACCEPTED IF IT IS WITHIN THE TERMS AND CONDITIONS AND CANCELLATIONS POLICY OF THE HOTEL.

What is your cancellation policy?

Upcoming Travel does not have a company cancellation policy. All posted cancellation policies are the policies set by each individual hotels.

how do I find the address and/or phone number of the hotel?

The hotels contact information is included with your reservation confirmation email.

Will I be charged if I do not show or I check in late for my hotel reservation?

Upcoming Travel does not charge for no shows or late arrivals. It is the hotels discretion to charge you if you do not cancel your reservation within the cancellation policy of the hotel which is provided on your reservation confirmation. When you guarantee your reservation with a credit card, it is standard hotel policy to hold your reservation for late arrival.

When will I be charged for my hotel reservation?

Upcoming Travel makes every effort to contract rooms that do not require an advance deposit. If it is the policy of the hotel to charge in advance, it will be stated on your reservation confirmation when they will charge. In most cases, no reservation will be charged until you check in to the hotel.

How do I know my reservation is confirmed?

Once you have completed your individual reservation, Upcoming Travel will send you an email confirming your reservation.

Yes. We will be more than happy to assist you over the phone.
